Strong in Disaster
Quality starts before the first order is placed.
A good supplier doesn’t solve a complex problem on its own. What matters is whether the pieces fit together: the hotel with the site, the bus with the schedule, the interpreter with the subject, the technology with the room and the team with the situation.
That’s why Bergwolf doesn’t just check individual quotes. We build a package that has to work as a whole.
1. We start with the end result
We start with the objective, place, time, people and conditions. We ask about dependencies and risks. Only then do we define the requirement.
That way, we don’t order one service perfectly and miss the real problem.
2. We identify the specialists, disciplines and services
Which specialists are needed? What must they bring? Which vehicles, rooms, permits, equipment or accommodation are part of it?
The situation gives the answer, not a ready-made catalogue.
3. We search our network and the market
Bergwolf works with a network built over more than two decades across event management, destination management, logistics, technology, security, catering, transport and other disciplines.
If the existing network isn’t enough, we keep looking. What counts is suitability for the specific task.
4. We compare before we buy
We check service, experience, availability, location and price. Where needed, we get alternatives and weigh up the consequences.
The cheapest component isn’t always the most economical. A distant hotel can make transfers more expensive. A cheap bus doesn’t help if it’s too small. A freelance technician doesn’t help without the right equipment.
5. We buy in the services and bundle them
Bergwolf procures as the contracting party. If you prefer, we act as an intermediary and you sign the contracts with the partners yourself. We procure hotels, transfers, catering, logistics, technology, staff and other services.
Then we bundle them into one package. The client doesn’t have to manage the individual suppliers.
6. We manage the interfaces
Many mistakes happen between two disciplines: between hotel and transfer, technology and room, driver and schedule, catering and timetable.
Bergwolf manages these handovers. Responsibilities, deadlines and information come together where they are needed.
7. We keep alternatives ready
Not everything goes to plan. A vehicle breaks down. A provider cancels. Numbers change. An authority adds a condition.
Where the task requires it, we check replacements and alternatives at the procurement stage. That way a change remains a job to be done, not a crisis.
8. We check delivery
Quality doesn’t end with the order. We monitor delivery, manage rooming lists, align schedules, check handovers and stay available to client and partners.
9. We stand behind the package
A Bergwolf client doesn’t buy a loose collection of components. They buy a service that has been researched, compared, procured and brought together.
Bergwolf takes commercial and operational responsibility for it within the agreed scope.
10. Rules apply under time pressure too
Bergwolf works within the applicable contract, procurement, security and award rules. Where checks, evidence or permits are required, we plan them in and agree the documents with the relevant bodies.
Speed is no substitute for care. Good preparation is what makes speed possible.
The rules Bergwolf and its partners work by are set out on the page Compliance: Code of Conduct, anti-corruption and identifiers.
Questions about service quality
How does Bergwolf select providers and professionals?
Bergwolf selects providers and professionals according to the specific task, not just from a fixed list of suppliers. We look at experience, technical suitability, available capacity, location, timeframe and price, among other things. Where several services depend on each other, we also check whether the components work together.
How does Bergwolf weigh price against quality?
Bergwolf looks at price and quality in the context of the whole task. The lowest individual price isn’t automatically the most economical option overall. A hotel further away can mean extra transfers. A cheaper vehicle can be unsuitable. That’s why we compare service, suitability, availability, location and possible follow-on costs as well as price.
What happens if a provider drops out or the situation changes at short notice?
For time-critical services at risk of failure, Bergwolf checks alternatives and replacements wherever possible. A vehicle can break down, a provider can cancel, numbers can change or an authority can add conditions. What level of cover makes sense depends on the task. Bergwolf organises the adjustment or replacement needed.
How does Bergwolf manage the interfaces between disciplines?
Bergwolf brings together the deadlines, responsibilities and information of everyone involved at the critical handovers. That is where many practical mistakes happen: between hotel and transfer, driver and schedule, event technology and room, or catering and timetable. So Bergwolf’s job doesn’t end with the purchase.
What responsibility does Bergwolf take for the whole package?
Bergwolf takes commercial and operational responsibility for the services it has procured and bundled. The client gets more than a list of recommended providers. The exact scope of responsibility follows from the specific order and contract.
How does Bergwolf deal with permits, security requirements and procurement rules?
Bergwolf builds the necessary permits, security requirements and procurement rules into the project work. In Germany, projects can involve the police, the local authority, the fire service or traffic authorities, for example. The authorities make the decisions; Bergwolf prepares the documents and handles the liaison. For public buyers, the procurement route follows the applicable rules and the specific contract.
